Email specificity edit prompt

A prompt for revising AI email copy around a verified trigger, a useful first line and one action, without fake familiarity or invented urgency.

You need
Current email draft · Verified reason to send it · Recipient segment and one desired action
Written for

An email sounds templated when the sender has no reason to be in the inbox. This prompt does not try to repair that with a cheerful greeting. It makes you supply the trigger and the one action before it rewrites a line.

For the full editing approach, read how to humanize AI email copy. If the subject still feels detached from the body, compare it with the email subject line examples and check whether the promise survives the first screen.

The prompt 225 words
Edit this email for relevance and honesty. Do not make it more casual just to
make it sound human. A person should be able to explain why this recipient
received it today.

Email type and audience: [TYPE AND SEGMENT]
Verified send trigger: [REAL TRIGGER]
Facts and offer terms we may state: [VERIFIED FACTS]
Current subject, preview text and body: [PASTE EMAIL]
One action the recipient should take: [ONE ACTION]
Established relationship and tone: [RELATIONSHIP]

First, return a short diagnosis with four lists: unsupported personalization,
generic setup, more than one call to action, and promises the body does not
keep. Quote the relevant line from the draft for each finding. Say "none"
where a list is empty.

Next, write a revised subject, preview text and body. Put the verified
trigger or the useful fact in the opening. Explain one thing the recipient
can do with the information, then ask for [ONE ACTION]. Keep the level of
familiarity consistent with [RELATIONSHIP]. Preserve any required legal or
policy language verbatim. Never claim that we noticed behavior, spoke to the
recipient, reserved a place or set a deadline unless the verified facts say
so. Mark a missing detail [VERIFY: ...] instead of guessing.

Finish with a pre-send checklist: merge fields, links, sender identity,
offer terms, date or deadline, and unsubscribe path. Do not manufacture
urgency or a personal anecdote.

What to change

Everything in square brackets is yours to replace. Nothing else needs editing.

[TYPE AND SEGMENT]
For example: welcome email to people who completed setup, or a newsletter to existing customers.
[REAL TRIGGER]
A verified action, update or scheduled event that explains this send.
[VERIFIED FACTS]
Paste the exact update, offer terms, destination URL and dates.
[PASTE EMAIL]
Include the subject and preview text because readers see them together.
[ONE ACTION]
Choose a single reply, click or account action.
[RELATIONSHIP]
State whether the recipient is new, active, inactive or unknown to the sender.

How to run it

  1. 01
Verify why the message is being sent

Write the trigger in a sentence and check it against the audience filter or product event.

  2. 02
    Review the diagnosis

Remove any implied familiarity or urgency that the source material does not support.

  3. 03
    Send a test message

Check subject and preview together, missing merge fields, line breaks, every link and the unsubscribe path.

Questions people ask

Will this prompt make a mass email feel personal?

It can make a relevant message clearer. It cannot create a real relationship or a valid reason to contact somebody when neither exists.

Should I put the recipient name in the subject?

Only if it serves the message and the field is reliable. A real reason to read matters more than a name token.
