How to humanize AI email copy when every draft sounds like a template
Make AI assisted emails sound like a person with a reason to write: use a real trigger, one clear ask and a factual tone that respects the recipient.

The problem with most AI email drafts appears before the first paragraph ends. They begin with a compliment, name a challenge the sender has not actually heard about, and offer a “quick chat” to solve it. Swap in a different recipient and nothing changes.

“I noticed you’ve been struggling” sounds intrusive when the sender only has an email address. “Thought you might love this” sounds hollow when the person has never replied. Do not use first person experience unless somebody on the team can own it.
The safer voice is concrete and respectful. Say what prompted the message, what the recipient can do with it and what happens if they ignore it. If a reply would help, ask a real question. If the message is transactional, let it be transactional. A clear receipt is better than a receipt dressed as a friendship.
Make the subject and body agree
A subject line is a promise. The first screen of the body needs to keep it. “Your September report is ready” should lead to the report link and a short explanation of what changed, not a product pitch hidden under the fold.
