- cold email follow up template

“Following up” describes what the sender is doing, not why the recipient should read. A second message earns its place by adding something: a relevant example, a shorter option or an answer to a likely practical question.
Build the first message with the cold email template and record the stop rule before enabling the sequence.
Write one follow-up in the existing cold-email thread.
First extract: original reason for contacting this person; evidence it is
specific to them; what new information this follow-up adds; original ask;
sequence number; and stop condition. If there is no new useful information,
output DO NOT SEND plus a one-line reason.
If sendable, write one email under 90 words. Keep the existing subject thread.
Refer to the earlier message without “bumping this”, “circling back”, “just
following up” or guilt about a busy inbox. Add one verified fact, useful
example, answer or narrower option. Make one low-friction ask that can be
answered directly. Do not invent familiarity, urgency, results, clients or a
reason they have not replied.
Then provide: a 45-word version; a respectful close-the-loop final message;
and a sequence log row with sent date, next eligible date and stop status.

Everything in square brackets is yours to replace. Nothing else needs editing.
[THREAD]- The exact sent message and any reply, so the follow-up does not reset the conversation.
[RELEVANCE]- A public or first-party fact explaining why this recipient, recorded accurately.
[NEW_VALUE]- A relevant example, answer, resource or narrower offer not already sent.
[SEQUENCE]- Which follow-up this is, minimum delay, maximum attempts and suppression rules.
[VOICE]- One short email actually written by the sender.
How to run it
- 01Read the sent thread
A follow-up continues the first message; it should not repeat the entire pitch.
- 02Earn the new send
Supply one relevant addition. If there is none, accept DO NOT SEND.
- 03Enforce the stop rule
Log attempts and stop on reply, opt-out, bounce or the sequence maximum.
Questions people ask
What should a cold email follow-up say?
Briefly restore the context, add one relevant fact or useful item not in the first message, and make one easy-to-answer request. An empty reminder gives the recipient no new reason to respond.
How long should you wait before following up on a cold email?
There is no universal interval. Respect applicable rules and the recipient’s work rhythm; several business days is a common starting point, with a defined maximum sequence and immediate suppression after opt-out.
How many cold email follow-ups should you send?
Set a small maximum before the sequence begins and require each message to add value. Stop immediately on a negative reply or opt-out, and stop early when you have nothing useful to add.
